Assistant Required – research, marketing & administration

Kate Tribe is searching for a multi-tasker to assist at Tribe Research with research, marketing and administration; and to assist with various other activities Kate is involved with.

Position Description

Sydney-based work from home role undertaking a range of research assistant, marketing support and administration assistant activities for Kate and Tribe Research.

We are seeking an enthusiastic and motivated person with excellent communication, organisational and interpersonal skills. The successful candidate will have working experience in small business and customer service, with demonstrated skills in a range of research, marketing and administrative functions including telephone interviewing, data entry, scheduling, project management, book keeping, proof reading, social media, and database management.

Flexible work hours are offered within the framework of meeting deadlines. The role is for approximately 15 hours a week.

Position Outline

Tribe Research is a cloud based with a virtual team.

The role is to provide research assistance, marketing and administrative support to Kate, from undertaking telephone interviews with our client’s customers/members to a range of financial, marketing, communications, project management roles, and supporting initiatives to enhance Tribe Research’s reputation as a specialist market and social research agency and support Kate with her other activities.

Duties and Responsibilities

Be responsible for the following:

Research Assistant (Explorer role – see our team page to understand role summaries)

  • Conduct short 3 question feedback interviews with the members of a long term client.
  • Conduct other telephone interviews as required.
  • Set up client approved drafted surveys in our online survey software and distribution of the email invitations.
  • Data entry of postal surveys when applicable.

Administration Assistant (Mapper role - see our team page to understand role summaries)

Opportunities and project administration

  • Manage Kate’s diary including opportunity meetings, event bookings and committee meetings.
  • Assist in the organisation of the delivery for Kate’s coaching and speaking services
  • Maintain the contacts in our CRM.
  • Maintain our newsletter subscriptions.
  • Project administration.

On and offline marketing and communications assistance

  • Proof reading marketing materials and other articles.
  • Update website content and PayPal.
  • Liaising with printers.
  • Update social media content regularly and assist with responding to comments (Facebook, Twitter, and LinkedIn).
  • Distribute various newsletters.

General Administration

  • Organise TRX (our past staff club) events.
  • Occasionally answer phone.
  • Manage general enquiries email inbox.
  • Develop ideas that you have identified.

Position Requirements

  • Sydney-based resident.
  • Energetic self-starter, well-presented and able to work at home without supervision but with a strong commitment to team work.
  • Understanding of small business.
  • Attention to detail with excellent oral and written communication skills.
  • Capacity to work flexibly.
  • Comfortable with technology.
  • Have a good internet connection and phone or Skype. A phone allowance will be provided.

Essential Skills

  • Excellent organisational, communication and collaboration skills.
  • Excellent working knowledge of MS Office Suite, and understanding of database management systems and web-based communications.
  • Comfortable with learning new technology
  • Proven experience in a similar position and/or appropriate qualifications.

We need a new Mapper

Tribe Research is a team of people that explore, uncover and drive change. We go on expeditions.

But, we need a Mapper!

Mappers can do a range of things to support other members of the team:

  • Assist researchers by doing
    • data entry of paper based surveys
    • telephone interviews for very short surveys
    • put data from our statistics software into graphs and reports
    • finalise report formatting
  • Book-keeping
    • manage team general expenses
    • MYOB data entry
    • prepare BAS and superannuation reports
  • Administration
    • manage our general email accounts
    • generate regular reports from CRM
    • maintain stationery & other office supplies
    • manage incoming and outgoing post

We’re thinking that this would be a part-time role, preferably 9:30-2:30 each day (so 1/2 time). The number of days is flexible depending on your interests, skills, and other commitments.

We need a Mapper

In 2008 we started a new role at Tribe Research: Mapper.

I’m not a fan of conventional job titles as they have a tendency to put people in boxes which people then try to fit, rather than broad roles that people can use to grow the business with their ideas and individual skills.  You can read more about our roles on our team page.

Our first Mapper was fantastic. She has her own business, Bounce Walking Tours, and learnt so much at Tribe Research that her business has grown too much to stay with us in her Mapper role. So we are now looking for someone as fantastic to fill the hole she left.

Mappers put things onto a map and bring them to the public eye, make them known or prominent and arrange them in an understandable order. In this capacity a Mapper:

  • Finalises and distributes our newsletter Tribal Voice
  • Proof reads my articles ready for publication
  • Organises opportunity appointments and manages my diary
  • Organises our Advisory Board meetings
  • Organises our annual TRX event and distributes their newsletter [TRX is our previous staff club]
  • Keeps MYOB up to date
  • Keep the website up to date
  • Does random other administration and marketing roles.

Tribe Research is fairly technology focused. We have CRM, wiki, remote working, and Skype. Having a handle on basic HTML will be useful.

A Mapper is a casual role of 8-16 hours per week. Preferably done as a few hours each day over the week.

Work at home, have a monthly meeting with Kate, need to come to 2 Planning Expeditions each year.

You must have your own computer with good quality internet connection [not wireless]. You must be independent, resourceful, positive and detail minded.

One Explorer walked in saying: “I can’t believe we got paid for that, it was so much fun“.
    • Friday afternoon drinks and snacks with a range of topics: Project SWOTs, film, reading report, update from CEO, and casual catch up.
